What should plumbing software handle end to end?

Plumbing software should carry a job from the moment a customer calls about a leaking water heater to the moment the invoice is paid, without anyone retyping the same details. That means capturing the request, putting it on a schedule that already shows what every plumber is doing, quoting the fix in a way the customer can approve, and turning the approved quote into an invoice with a payment link.

The hard part in a plumbing company is that the day rarely goes as planned. A drain call that was supposed to take an hour turns into a camera inspection and a second visit. A slab leak pushes two afternoon jobs to tomorrow. Software earns its place when the office can see those changes as they happen and move work without a chain of phone calls. AI helps most at the edges: answering the phone when nobody can, and suggesting who should take the call that just landed.

How plumbing companies use Tradecraft

Win the work

Capture the request without pulling a plumber off the job

Most plumbing calls arrive while your team is elbow-deep in someone else's problem. Tradecraft's AI voice and chat agent answers on your business line and your website, collects what a dispatcher would ask, and books into the windows you allow. A customer describing a slow drain, a running toilet, or a water heater that quit overnight becomes a job with the details already written down.

  • One agent across phone, website chat, and text
  • Collects the symptom, location in the home, and when the customer is available
  • Books into your real availability instead of leaving a voicemail
  • Follow-up texts on Business plans for quotes that have gone quiet

Who decides: You decide what the agent asks and which time windows it can book. Your office reviews each new job before a plumber is assigned.

  1. Inbound call

Water heater leaking from the base

    • Garage location, 50-gallon gas unit
    • Customer home until noon
  2. New job

    Service call, high priority

    • Symptom and location captured
    • Status: unassigned
  3. Office

Details ready for the schedule board

    • No callback needed for basics
    • Notes shared with the team

Run the day

Re-fit the board when the day changes

The schedule board shows every plumber's day, the live map shows where they actually are, and unassigned work sits in its own view. When a high-priority service call lands, the dispatch copilot scores your active plumbers on skills, distance, and workload and writes a recommendation with the reasons. The dispatcher applies it or moves the work by hand. When a drain job runs long, the afternoon can be reshuffled by dragging jobs, not by calling every truck.

  • Drag-and-drop schedule with crew and unassigned views
  • Live map with plumber and job locations
  • Recommendations name the plumber and explain why
  • Team chat with rooms and mentions keeps the office and trucks on the same page

Who decides: Recommendations are suggestions. A person on your team applies every assignment, and each one is recorded with who made it.

  1. Running long

Drain clearing turned into a camera inspection

    • Second visit needed
    • Next job at risk
  2. Recommendation

Suggested: Dev for the water heater call

    • Gas water heater experience
    • Eight minutes away
    • Open after 11 am
  3. Dispatcher

Apply and move the 1 pm job to tomorrow

    • Customer notified of the change
    • Board updated for the whole team

Finish the job

Turn the agreed scope into a quote the customer can approve

For a water heater replacement, build the quote from your pricebook with labor and materials as separate lines. Offer Good, Better, and Best options when it helps: a like-for-like tank, an upgraded tank with a longer warranty, or a tankless unit. Send it to the customer, mark the preferred option, and let them decide. The selected option converts to an invoice with one action.

  • Labor and materials as separate line items from your pricebook
  • Optional Good, Better, Best presentation
  • Send the quote to the customer and track its status
  • The chosen option becomes the invoice without retyping

Who decides: Your plumber sets the scope and your prices apply. Tradecraft does not diagnose the problem or set regional pricing for you.

  1. Good

    Like-for-like 50-gallon gas tank

    • Unit, labor, haul-away
    • Same-day install possible
  2. Better

    Upgraded tank with expansion tank

    • Longer manufacturer warranty
    • Marked as preferred
  3. Best

    Tankless unit with venting

    • Higher equipment cost
    • Scheduled as a full-day job

Finish the job

Carry the quote into invoicing and payment

Once the customer approves, the invoice is created from the selected option and sent with an online payment link. The office sees invoice status without asking the plumber how the job ended. Documents such as agreements or completion forms can be generated and signed electronically from the same job, and everything stays attached to the customer for the next visit.

  • Invoices created from approved quotes
  • Online payments through Stripe with status tracking
  • Find, generate, revise, and send documents with e-signature
  • Customer history: jobs, quotes, invoices, and notes in one record

Who decides: Your team decides what to send and when. Payment processing fees and AI usage are separate from the platform fee; the pricing page has the details.

  1. Invoice

    Created from the Better option

    • Status: pending
    • Payment link sent by email and text
  2. Payment

    Paid online the same evening

    • Status: paid
    • Receipt delivered
  3. Customer record

Water heater installed, photos and notes attached

    • Next visit starts informed
    • Quote and invoice linked to the job

Example workflow

Example workflow: from service call to approved replacement

A fictional Thursday for a four-truck plumbing company. Names and details are illustrative. Each step is something Tradecraft does today.

  1. The call comes in at 8:15 am

The owner is driving to the first job and the office manager has not arrived. The AI agent answers, learns a gas water heater is leaking from the base in the garage, confirms the customer is home until noon, and books a high-priority service call.

  2. The job appears as unassigned

The office manager opens the schedule board at 8:30 am and sees the job with the address, the unit description, and the time window already filled in.

  3. The dispatch copilot suggests a plumber

The recommendation names the plumber with gas water heater experience who is eight minutes away and open after 11 am, with the reasons listed.

  4. The dispatcher applies it and moves one job

She applies the recommendation and drags his 1 pm drain job to tomorrow morning. That customer receives a text about the new time.

  5. The plumber confirms the tank has failed

From the mobile app he adds photos of the corroded base and notes about the venting. Replacement is the right conversation.

  6. The company presents three options

The quote shows a like-for-like tank, an upgraded tank with an expansion tank, and a tankless unit, each itemized from the pricebook. The customer chooses the upgraded tank.

  7. The approved option becomes the invoice

The invoice is created from the selected option and sent with a payment link. The customer pays online that evening, and the customer record now holds the photos, notes, quote, and invoice for next time.

What Tradecraft does not do for plumbing companies

Tradecraft runs the business side of plumbing work. These boundaries are worth knowing before a demo.

  • It does not diagnose plumbing problems or tell your plumber what is wrong. The AI agent captures what the customer describes; your plumber makes the call on site.
  • It does not publish or set service prices for your market. Your pricebook holds your numbers.
  • The dispatch copilot recommends plumbers. It does not assign them automatically and does not promise arrival times to customers.
  • It is not a permit or inspection system, and it does not track code requirements for your jurisdiction.
  • Outbound AI follow-up calls, the fleet console, and the bid desk are Business plan features. AI usage beyond the included monthly credits is billed as additional usage.

Plumbing questions, answered

Can I schedule planned plumbing work alongside new service calls?

Yes. Repipes, remodel rough-ins, and maintenance visits sit on the same schedule board as the service call that just came in. The board has crew and unassigned views, and the live map shows where each plumber is. When something runs long, you drag jobs to a new time and the affected customers are notified.

What happens when an incoming request needs a different plumber than the one nearby?

The dispatch copilot scores your active plumbers on skills, distance, and current workload, so a gas water heater call is not recommended to the plumber who only does drains just because he is closest. The recommendation lists its reasons. Your dispatcher can apply it or choose someone else.

Can I quote options for a water heater replacement?

Yes. Build the quote from your pricebook with labor and materials as separate line items, then offer Good, Better, and Best options such as a like-for-like tank, an upgraded tank, and a tankless unit. Mark a preferred option, send it to the customer, and track its status until they decide.

Does an accepted quote turn into an invoice automatically?

When the customer chooses an option, your team converts it to an invoice with one action. The invoice carries the same line items and is linked to the quote and the job, so nothing is retyped and the history stays together.

Are my field plumbers charged per seat?

No. Technicians are unlimited on every plan. The platform fee covers office seats: 3 on Shop at $199 per month billed monthly, and 10 on Business at $399 per month billed monthly. Adding a truck does not change the price.

Which AI features are included, and which need the Business plan?

Shop includes the inbound AI voice and chat agent, dispatch recommendations, the internal assistant, and 1,000 AI credits per month. Business adds proactive outbound text follow-ups, AI outbound calls, the fleet console, and the bid desk, with 5,000 credits per month. AI usage beyond the included credits is metered as additional usage on both plans.

How do online payments and fees work?

Invoices go out with a Stripe payment link, and the office can see which invoices are pending and which are paid. Card processing fees are charged by the payment processor and are separate from the Tradecraft platform fee. The pricing page explains what is included in each plan.
